Cancellation Policy

Clear, fair conditions for cancelling, rescheduling, or refunding any service you buy from Modern Navigator LLC. These terms apply to all-inclusive retreat packages and consulting engagements.

1. Who this applies to

This policy applies to every purchase from Modern Navigator LLC (5900 Balcones Drive, Ste 100, Austin, TX 78731, United States), whether made under the Modern Navigator Consulting brand or the lisbonretreat.com retreat brand. It forms part of our Terms of Service.

Where a written statement of work or booking confirmation sets different refund terms for a specific engagement, those specific terms take precedence over this page for that engagement.

2. How to request a cancellation or refund

Send a written request (email is sufficient) to modernnavigatorllc@gmail.com that includes:

The cancellation date is the date we receive your written request, not the date of any earlier phone call.

Approved refunds are returned via the same payment method used for the original purchase. Card refunds typically appear within 5–10 business days; bank-transfer refunds within 3–5 business days, depending on your bank.

3. Retreats — all-inclusive packages

Deposits

Retreats are booked with a 30% non-refundable deposit. This deposit secures your dates, the property, and initial supplier bookings. It is not refundable in cash under any circumstances, but see Section 3(d) on rescheduling.

Cancellation by you — sliding scale on the balance

If you cancel after paying the 30% deposit, the 70% balance (if paid) is refunded on the following sliding scale:

If the balance has not yet been paid when you cancel, the equivalent amount is simply deducted from (or added to) your outstanding invoice so the net effect matches the table above.

Rescheduling

If your plans change but you still want to come, you may ask to reschedule to new dates within 12 months of the original arrival date, subject to availability. If you request this at least 30 days before arrival, we apply 100% of what you have paid (including the deposit) as credit toward the new dates. Inside 30 days, we apply 50% of what you have paid as credit. Rescheduling may be subject to a price adjustment if the new dates fall in a different season.

Cancellation by us

If we cancel for any reason other than force majeure or material breach by you, you receive a full refund of everything you have paid, including the deposit.

Force majeure (including travel bans, natural disaster, pandemic)

If either party cannot safely or lawfully perform because of an event outside reasonable control — for example a travel ban, natural disaster, pandemic, or major infrastructure failure — we will first offer to reschedule your retreat within 12 months at no additional base cost (price adjustments for seasonal differences may apply). If rescheduling is not possible, you receive a refund of 50% of the amounts paid, including the deposit, and we absorb the balance on costs already committed to suppliers. Travel-disruption risk beyond this cap should be covered by your travel insurance.

Guest no-shows and early departures

Individual guests who no-show or leave early do not receive a refund. Meals and activities missed are not refundable.

4. Consulting engagements

Discovery call

The initial 30-minute discovery call is free. Nothing to cancel.

Fixed-scope projects

Before we begin work, you may cancel a signed statement of work for a full refund of any deposit paid. Once work has started (meaning we have logged time against the engagement), the deposit is non-refundable. Any unbilled work is cancelled and you pay only for work properly performed up to the cancellation date.

Monthly optimization retainer

Monthly retainers can be cancelled at the end of any monthly billing cycle with 14 days' written notice. Retainers are not pro-rated within a billing cycle once the month has started. Unused hours in a given month roll over into the next month once, but are forfeited if not used in the following month, and are not refundable in cash.

Cancellation by us

If we terminate a consulting engagement for any reason other than material breach by you, we refund the unconsumed portion of any fees paid in advance.

5. Add-ons (à la carte services)

À la carte add-ons booked as part of a retreat (cooking class, live music, tours, etc.) follow the same sliding-scale refund schedule as the underlying retreat booking. Add-ons added after the main booking follow the schedule relative to the retreat's arrival date.

6. Chargebacks

We would always rather resolve a dispute by talking to you directly than have it go through a chargeback, which is slow and expensive for everyone. Please email modernnavigatorllc@gmail.com first — we aim to respond within 2 business days and offer a fair resolution. Initiating a chargeback without first contacting us may, at our discretion, lead to the cancellation of related bookings or services.

7. Consumer rights

Nothing in this policy excludes or limits mandatory consumer protection rights you may have under the law of your country of residence. For EU and UK consumers in particular, the statutory right of withdrawal does not generally apply to accommodation, event, or leisure services provided on a specified date or within a specified period; retreat bookings fall within this exemption.

8. Changes to this policy

We may update this policy from time to time. The version that applies to your booking or engagement is the version published on modern-navigator.com at the time you made your booking or signed your statement of work. We'll flag material changes on the homepage for at least 30 days.
