Modern Navigator LLC ("Modern Navigator", "we", "us", "our") is a limited liability company registered in the State of Texas, United States. Our registered office is 5900 Balcones Drive, Ste 100, Austin, TX 78731, United States.
Modern Navigator LLC operates the websites modern-navigator.com and lisbonretreat.com, and delivers consulting services, retreat packages, and related offerings under those brands. This Privacy Policy applies to all of them.

2. Information we collect
We only collect what we need to run our business. Specifically:
Information you give us
- Contact details — name, email address, phone number, and company (when provided) — collected when you email us, fill out an enquiry form, or book a service.
- Booking and engagement details — group size, dates, preferences, dietary requirements, project scope — provided to plan your retreat or consulting engagement.
- Billing details — business name, billing address, and VAT number where applicable — collected so we can issue invoices and receipts.
- Correspondence — the content of messages you send us.
Information collected automatically
- Basic analytics — IP address, browser type, device type, pages visited, and referring URL. Used only to understand site performance. We do not build advertising profiles.
- Cookies — minimal functional cookies only. We do not run third-party advertising cookies on our sites.
Information from payment processors
When you pay us, our payment processors (currently Stripe and Wise) handle your card or bank details. We never see or store full card numbers. We receive a confirmation of payment and the last four digits of the card for reconciliation.
3. How we use information
We use information to:
- Respond to your enquiries and provide quotes.
- Deliver the services you've booked (retreats, consulting, add-ons).
- Process payments and issue invoices and receipts.
- Communicate changes, updates, and logistics related to your booking.
- Meet our legal, tax, and accounting obligations in the US and Portugal.
- Improve our websites and services.
We do not sell your information. We do not share your information with advertisers. We do not send marketing email unless you explicitly opt in.
4. Legal bases (GDPR)
For visitors in the European Economic Area and the United Kingdom, the legal bases under the GDPR / UK GDPR on which we rely are:
- Contract — to provide the services you've booked.
- Legitimate interests — to run and improve our business in a proportionate way, and to keep our sites secure.
- Legal obligation — to comply with tax, accounting, and regulatory requirements.
- Consent — where we ask for it, e.g. before sending optional marketing email.
5. Who we share information with
We share personal information only with:
- Payment processors — Stripe, Inc. and Wise Payments Limited — to accept payment.
- Infrastructure providers — our website host (Netlify), email (Google Workspace / Gmail), and cloud storage — who process data on our behalf under standard data-processing terms.
- Professional advisors — accountants and lawyers, when required.
- On-site partners — chefs, wellness practitioners, property managers, and transport providers — only the information they need to deliver your retreat (e.g. dietary requirements, arrival times).
- Authorities — where required by law.
6. International transfers
Modern Navigator LLC is based in the United States but operates retreats in Portugal. Your information may be processed in the US, Portugal, and the EEA. Where we transfer data out of the EEA/UK, we rely on standard contractual clauses or equivalent safeguards.
7. How long we keep information
We keep information only as long as we need it:
- Enquiry data: up to 24 months after last contact.
- Booking and consulting records: up to 7 years after the engagement ends, to meet tax and accounting requirements.
- Invoices: at least 7 years, in line with tax law.
8. Your rights
Depending on where you live, you may have the right to:
- Access a copy of the personal information we hold about you.
- Correct inaccurate information.
- Delete your information, subject to our legal retention requirements.
- Restrict or object to certain processing.
- Port your data to another provider.
- Withdraw consent at any time where processing is based on consent.

If you believe we have mishandled your data, you can complain to your local data protection authority — in Portugal, the CNPD; in the UK, the ICO.
9. Security
We use HTTPS on all our sites, host on infrastructure with industry-standard security practices, and limit access to personal data to people who need it. No system is perfectly secure, but we take reasonable steps to protect your information.
10. Children
Our services are not directed at children under 16. We do not knowingly collect information from children. If you believe we have, contact us and we'll delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we'll update the "Last updated" date at the top. Material changes will be flagged on the homepage of modern-navigator.com for at least 30 days.
